What is vehicle maintenance tracking

Maintenance tracking means knowing what has been done to the vehicle, when and at what mileage, and what comes next. With that record, oil changes, scheduled services and tires no longer depend on memory or on the sticker the shop left on the windshield.

In the app, tracking brings two things together: the history of what has been done and the alert for what is coming due. Every service you log is the basis for the next forecast, and the cost of keeping the vehicle running stays in plain sight.

How to track maintenance in Drivvo

Three steps, and then the app keeps track on its own. It works on Android, iPhone and the Web.

  1. Log the service

In Services, pick one or more types, such as oil change, filters, tires and brakes, with the cost of each, the date, the odometer and the place. To get started, log the last service you had done.

  2. Create the reminder

In Reminders, pick the type of service, tap Repeat every and enter a distance, a time or both. The expected date and mileage for the next service show up right away, based on the last service of the same type.

  3. Get the alert

As the due date gets close, the reminder shows up at the top of History and arrives as a notification on your phone. Once the service is done, log it in the app and the reminder starts counting toward the next one.

Reminders by date or mileage: whichever comes first

If you drive a lot, you reach the mileage first; if you drive little, the deadline in days or months. With both in the same reminder, the alert comes from whichever happens first.

  • Once or every time

The Just one time option is for a one-off task, such as replacing the timing belt at a set mileage. With Repeat every, the reminder renews whenever the service is logged.

  • Forecast from your history

The app adds the reminder interval to the date and odometer of the last service of the same type. To know how much is left, it uses the current mileage, which comes from your fuel-ups and other entries.

  • Lead time your way

In Settings, you choose how many days and how much distance ahead the reminder starts to show, so there is time to book the shop.

  • Notifications that don't nag

The notification arrives when the lead time starts and on the due date. If the service isn't logged, it reminds you again, without repeating every day.

  • Expenses too

Insurance, registration and taxes go in as expense reminders by date, right next to the maintenance ones.

  • Suggestions to get started

The app suggests the most common reminders, such as oil change, scheduled maintenance and tire rotation, so you don't start from scratch.

Preventive maintenance schedule: reference intervals

The intervals most often quoted by manufacturers and repair shops for passenger cars. Use them as a starting point and check your vehicle's owner's manual.

Oil Change5,000–10,000 km or 6–12 monthsSynthetic oil usually allows the longer interval; severe use calls for the shorter one.
Oil FilterAt every oil changeSome manufacturers call for a new filter every other oil change.
Air Filter10,000–20,000 km or 12 monthsOn dirt roads or in dusty conditions, replace it sooner.
Brake Fluid2 yearsBrake fluid absorbs moisture over time, even with little use.
Brake Pads10,000 kmInterval for checking; replacement depends on wear.
Belts40,000–100,000 kmA broken timing belt can damage the engine: follow the manual's interval to the letter.
Coolant2–5 yearsBetween changes, check the level with the engine cold.
Tires - Rotation8,000–10,000 kmEvens out wear and makes the tires last longer.
Tires - Alignment/Balancing10,000–20,000 kmAlso do it whenever the steering wheel pulls to one side or vibrates.
Tires - Pressure2 weeksWith cold tires, at the pressure recommended by the manufacturer.
Battery2–5 yearsAverage lifespan; slow starts are the first sign of wear.
Scheduled Maintenance10,000 km or 12 monthsUnder warranty, the manufacturer's service plan is what counts.

The owner's manual matters more than any table: it has the intervals for your engine and says when use counts as severe, such as heavy traffic, short trips, dust, towing or many hours on the road each day. In those cases, intervals get shorter. Motorcycles and trucks have their own schedules.

Every row in this table can become a reminder in Drivvo, with the distance and time from your manual.

Preventive, predictive and corrective maintenance

All three show up in the life of any vehicle. What sets them apart is when the decision to do the service is made.

  • Preventive

Done by time or mileage, before something fails: oil, filters, belts and fluids. It is what reminders cover and what best avoids expensive repairs.

  • Predictive

Decided by the condition of the part: brake pad thickness, tire tread, battery charge, a new noise. Write the measurement in the service notes to compare at the next visit.

  • Corrective

The repair after a failure. It is worth logging too: the history shows what the lack of prevention cost and which parts keep going back to the shop.

Services

Vehicle maintenance history

Every service is stored with the vehicle, with the date, odometer, items and the cost of each, the place, the payment method and the driver.

  • Several items in the same service, with discount and installments
  • Invoices and photos attached, on paid plans
  • A timeline that helps prove the services were done, when selling or under warranty
  • The same records on your phone and computer, in sync

Reports

How much your vehicle's maintenance costs

The Services report adds up what was spent in the period and shows the result in three ways.

  • Total, per day and per km

With the cost per km, you can compare vehicles and estimate how much maintenance will cost as you drive.

  • Month by month

The monthly chart shows in which months spending went up and helps you plan the next services.

  • By type of service

Tires, brakes or oil: the chart by type points to where most of the money goes.

Fleet maintenance tracking

In a company, each vehicle has its own reminders and history, and the manager follows the whole fleet in the app or on the Web.

  • Drivers log services from their phone, and their profile defines what they can see and edit.
  • Each vehicle's mileage updates with fuel-ups and checklists, and the reminders use it to work out how much is left.
  • Maintenance cost shows up per vehicle in the reports, next to fuel and expenses.
  • Each driver's license expiration date is in the user list.

Maintenance app or spreadsheet?

A spreadsheet works as long as someone remembers to open it. It doesn't know today's odometer, doesn't warn you about the oil change and usually sits on one person's computer.

In the app, the service is logged on the spot, at the shop, and the forecast updates with every new entry. If you already have a spreadsheet, Drivvo support imports the data into the app.

Frequently asked questions

What is vehicle maintenance tracking?

It is the record of what has been done to the vehicle, with date, mileage and cost, plus a reminder of what comes next. It keeps oil changes and scheduled services from running late and shows how much maintenance costs.

What is the best app to track car maintenance?

One that keeps the history and reminds you by date and by mileage. Drivvo does this on Android, iPhone and the Web, for cars, motorcycles, trucks and fleets, and also tracks fuel-ups and expenses.

Is Drivvo free?

Yes. The Free plan logs services and creates reminders for up to 2 active vehicles, with ads. Paid plans remove ads and unlock more vehicles and attachments for invoices and photos. For companies, the Fleet plan has a 15-day free trial.

Should I change the oil by mileage or by time?

By whichever comes first. Oil wears out with use and also with time, even when the vehicle sits still. That is why the Drivvo reminder takes both limits together.

How long can I go past an oil change?

Ideally, not at all. Old oil protects the engine less, and running late can count against the warranty. With the reminder's lead time, you can book the change before the limit.

How do I know when my last oil change was?

If it was logged as a service, it is in the history with date and odometer, and the oil change reminder shows when the next one is due. Without a record, use the shop's sticker or invoice and log that change in the app: the count starts from there.

What does preventive maintenance include?

Oil and filter changes and checks of brakes, tires, belts, fluids, battery, lights and suspension, at the intervals in the manual. The table on this page has the most common reference intervals.

What are the types of vehicle maintenance?

Preventive, done on schedule; predictive, decided by the condition of the parts; and corrective, after a failure. All three can be logged as a service in Drivvo.

What happens if I skip scheduled maintenance?

Wear builds up unnoticed: old oil, worn-out pads, an aging belt. Repairs usually cost more than prevention, the vehicle becomes less safe, and the warranty can be lost when the manufacturer requires the services.

Does logging maintenance help with the warranty and resale?

It does. A history with dates, mileage, shop and costs shows the intervals were followed. For the warranty, also keep the receipts the manufacturer asks for; on paid plans, they can be attached to the service.

How do I set up a fleet maintenance plan?

Start from each model's manual and create one reminder per item on each vehicle, with distance and time. The odometer comes in through the drivers' fuel-ups and checklists, and the manager follows what is coming due and the cost of each vehicle.

Do I get the alert without opening the app?

Yes, on Android and iPhone, as long as Drivvo notifications are allowed on the device. On the Web, reminders show up on the Reminders screen.
